This Privacy Policy describes Our policies and procedures on the collection, use and disclosure of Your information when You use the Service and tells You about Your privacy rights and how the law protects You.

We use Your Personal data to provide and improve the Service. By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy.

Interpretation and Definitions

Interpretation

The words of which the initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.

Definitions

For the purposes of this Privacy Policy:

Account means a unique account created by You to access our Service or parts of our Service.
Application means the software program provided by the Company downloaded by You on any electronic device, named Race Control
Company (referred to as either "the Company", "We", "Us" or "Our" in this Agreement) refers to SailTrak Race Control knowns as Race Control and the associated client, SailTrak.
Country refers to: United Kingdom
Device means any device that can access the Service such as a computer, a cellphone or a digital tablet.
Personal Data is any information that relates to an identified or identifiable individual.
Service refers to the Application.
Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).
You means the individual accessing or using the Service, or the company, or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.

Collecting and Using Your Personal Data

Types of Data Collected

Personal Data

While using Our Service, specifically for managing race results, We may collect the following information:

Participant Information: Helm and Crew names.
Vessel Information: Sail numbers and Boat Class.
Race Performance Data: Lap counts and elapsed times. And when Our Service is used with the SailTrak client, Position on Course
Course Mark Location Coordinates: Captured manually in the app by the User or received via MQTT from third party location trackers. These coordinates are not saved to the Google Drive or Sailwave files. However, during a live race these coordinates are transmitted via MQTT to authorized participant devices (SailTrak client) to sychronize the race course. We do not store this location data on our own servers.
Administrative Identifiers: For users with administrative access, we collect your Club Google User IDs and Email addresses via Google OAuth for authentication purposes.
Local Administrative Storage: The Application allows authorized Administrators to set a specific recipient email address for race results. This email address, along with the Administrator's Google account email used for OAuth, is stored locally and exclusively on the user’s device. This data is not transmitted to our servers, is not used for marketing, and is used only to manage the connection to the user's Google Drive and to facilitate result sharing."

Google Drive Integration & Limited Use Disclosure

Race Control accesses your Club Google Drive to create and modify Sailwave files containing race results. We access Sailwave race files on your Google Drive solely to provide race timing services. This data is not used for advertising, nor is it transferred to any servers other than the user-authorized Google Drive."

Limited Use: Our app's use and transfer to any other app, including via MQTT protocols, of information received from Google APIs will adhere to the Google API Service User Data Policy, including the Limited Use requirements.

Automated File Indexing

The Application accesses a designated 'Events' configuration file on your Google Drive to identify and display available race files within the app’s internal interface. This allows for centralized management of club regattas. The Application only opens and processes the specific Sailwave files referenced in this index for the purpose of recording race results.

Third-Party Processing: Race data saved to the shared Club Google Drive is intended for processing by the Sailwave third-party scoring software. We do not transmit this data to any servers other than Google Drive.

Third-Party Data Interoperability (Sailwave)

The Application is designed to provide race control services for files managed by Sailwave. We access specific Sailwave (blw) race files on your Google Drive only when explicitly selected by the user. Our Application reads competitor data from these files and writes race results (e.g., elapsed times and lap counts) back to them. We do not use data from third-party files for any purpose other than race management within this Application.

Sharing Race Results

Users may optionally share race results via email. This feature generates a direct link to the specific race file stored on the Club's Google Drive and transmits it to the admin-specified recipient.

Real-Time Data Transmission (MQTT)

To facilitate race management, the Application uses an MQTT client to transmit course mark coordinates to the SailTrak client application. This data is used exclusively to synchronize the race course across participant devices. These transmissions include geographic coordinates (lat/long) and race identifiers. We do not store this live transmission data on our own servers, and it is used only for real-time race synchronization.

Race Progress & Relative Positioning

To provide Race Control with a real-time overview of the competition, the Application receives data from participant devices (via the SailTrak client). This data represents a participant’s relative position on the defined race course (e.g., distance to next mark) rather than raw GPS coordinates. This information is used solely for race management and is not stored permanently or used for individual tracking outside of the active race event.

Use of Your Personal Data

The Company may use Personal Data for the following purposes:

To provide and maintain our Service: Specifically to record race times and calculate results.
To manage Your Account: To authenticate club administrators via Google OAuth.
For the performance of a contract: To fulfil the administrative requirements of the sailing club's racing events.

Retention of Your Personal Data

The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy.

Data Ownership and Deletion

All race data is stored directly on your authorized Google Drive. You retain full ownership and can delete race files or the 'Events' index at any time via the Google Drive interface. Administrative email addresses are stored in the app and can be cleared within the App Settings.

Security of Your Personal Data

The security of Your Personal Data is important to Us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While We strive to use commercially acceptable means to protect Your Personal Data, We cannot guarantee its absolute security.

Other Legal Requirements

The Company may disclose Your Personal Data in the good faith belief that such action is necessary to:

Comply with a legal obligation
Protect and defend the rights or property of the Company
Prevent or investigate possible wrongdoing in connection with the Service
Protect the personal safety of Users of the Service or the public
Protect against legal liability

Changes to this Privacy Policy

We may update Our Privacy Policy from time to time. We will notify You of any changes by posting the new Privacy Policy on this page.

We will let You know via a prominent notice on Our Service, prior to the change becoming effective and update the "Last updated" date at the top of this Privacy Policy.

You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.
